Privacy Policy

This Privacy Policy explains how NEXO ("NEXO", "we", "us" or "our") handles information when you use the NEXO: Scan, Chat & Print mobile application (the "App"). We have written it to be read, not skimmed past: the short version is that your documents stay on your phone.
1. The short version
- NEXO works offline. Scanning, text recognition, search, PDF tools, Smart Vaults and NEXO Chat all run on your device.
- We do not operate accounts, cloud storage or servers that receive your documents, scans, extracted text or chat history. We never see them.
- The free version shows ads provided by Google AdMob. Google may collect device information for advertising, as described in section 5. NEXO Pro removes ads.
- Purchases are handled entirely by Google Play. We never see your payment details.
- If you contact us (for example with "Report a problem"), we receive only what you choose to send in that email.
2. Who we are
The App is provided by NEXO, based in India. For the purposes of India's Digital Personal Data Protection Act, 2023 (the "DPDP Act") and, where it applies, the EU/UK General Data Protection Regulation ("GDPR"), NEXO is responsible for the limited personal data it processes as described in this policy.

3. Information that stays on your device
The following is created and stored only on your device, inside the App's private storage, which Android encrypts. It is not sent to us or to anyone else unless you choose to share it:
- Documents you scan, import, create or edit, including PDFs, images and their thumbnails.
- Text recognised from your documents, summaries, detected dates, amounts and categories.
- NEXO Chat conversations and the on-device search index built from your documents.
- Smart Vault organisation, favourites, tags, reminders and due dates.
- Your display name, app language, theme and other settings.
- Technical error logs, which contain short technical notes and never your document content.
The App's private data is excluded from Android cloud backups and device-to-device transfer, so it is not copied to your Google account backup. This also means that if you uninstall the App, clear its data or lose your device, this data cannot be recovered by us. Please export or share copies of important documents to a location you trust. Files you have saved outside the App (for example to Downloads or a folder you selected) remain there until you delete them.
Temporary files created while processing, printing or sharing are deleted automatically, normally within a day.
4. Information we receive from you
We only receive personal data when you contact us directly, for example through "Report a problem", which opens your own email app with a pre-filled message. You review the email before sending it. We receive:
- Your email address and name as shown by your email provider.
- The subject, message and any attachments you choose to add. Please do not attach documents containing sensitive personal information unless it is needed to solve your problem.
- Device details (app version, device model and Android version), only if you tick "Include device details".
We use this information only to respond to you, investigate and fix the problem, and improve the App. We keep support emails for as long as needed to resolve your request and for up to 24 months afterwards, unless the law requires us to keep them longer. We do not sell this information or use it for advertising.
5. Services provided by third parties
Some features rely on services from other companies. These companies process data under their own privacy policies.
Google AdMob (advertising, free version)
The free version of the App displays ads served by Google AdMob. To show and measure ads and to prevent fraud, Google may collect and process information such as your device's advertising ID, IP address, approximate location derived from the IP address, device and app information, and your interactions with ads. Depending on your region and choices, ads may be personalised or non-personalised.
Where required by law (for example in the EEA, the UK, Switzerland and certain US states), the App asks for your consent through Google's User Messaging Platform before personalised ads are shown. You can review or change your choice at any time in Settings > Privacy choices (shown when this applies in your region). You can also reset or delete your advertising ID in your Android settings. Subscribing to NEXO Pro removes ads from the App.
Google Play (purchases and app integrity)
NEXO Pro subscriptions are sold and processed by Google Play. Google handles your payment information; we receive only the information needed to confirm your subscription, such as the product purchased, the purchase status and a purchase token. The App also includes Google's Firebase App Check and Play Integrity components, which can verify that the App is genuine and unmodified. These do not receive your documents or their content. Google ML Kit and Google Play services (on-device recognition)
Text recognition, barcode and QR scanning, language detection, the document scanner and translation use Google ML Kit, which processes your images and text on your device. Your documents are not sent to Google for this processing. Language packs and recognition models may be downloaded from Google the first time you use a feature, and Google may collect limited technical information (such as device type, app version and performance metrics) to operate and improve these components. Features you choose to use
- Printing: documents you print are sent to the printer you select, over your local network or Bluetooth, or through the Android print service and any printer plug-in you have installed.
- Web Print: web pages you open are loaded directly from those websites, which receive your IP address and device information as with any browser.
- Sharing and exporting: when you share a file, it goes to the app or destination you choose, under that service's terms.
- Nearby transfer: documents sent to a nearby device travel directly between the two devices, protected by a PIN and end-to-end encryption. They do not pass through our servers.
- Folder sync: if you connect a folder on your device, the App reads files in that folder to show and index them on your device.
6. Permissions the App asks for
The App only asks for permissions when a feature needs them, and you can revoke them at any time in Android settings.
- Camera: to scan documents and QR codes.
- All files access or selected folders: to open, import, save and sync documents in locations you choose.
- Notifications: to remind you of due dates and expiring documents.
- Nearby devices / Bluetooth: to find and print to nearby printers and to transfer documents to nearby devices.
- Internet and network state: for ads in the free version, downloading language packs, loading web pages in Web Print and printing over your network. Your documents are not uploaded.
- Run at startup and vibration: to keep your reminders scheduled after a restart and to give feedback when you capture a page.
7. How we protect your information
- Your documents are kept in the App's private storage, which other apps cannot read and which Android encrypts.
- You can turn on Biometric Lock (fingerprint, face or screen lock) in Settings.
- Private data is excluded from cloud backups, and temporary files are cleaned up automatically.
- Nearby transfers are end-to-end encrypted.
- The Privacy Dashboard in the App shows what is stored and what the App can access.
No method of storage or transmission is completely secure, but we design the App so that your documents never have to leave your device.
8. Children
The App is not directed at children under 13, and we do not knowingly collect personal data from children. In India, users under 18 should use the App with the involvement of a parent or guardian. If you believe a child has sent us personal data, contact us and we will delete it.
9. Your rights and choices
Because your documents are stored only on your device, you can view, correct, export and delete them directly in the App at any time. Uninstalling the App deletes all of its private data from your device.
Depending on where you live, you may have rights over personal data we hold about you (for example, support emails):
- India (DPDP Act, 2023): to access a summary of your personal data, to correct, complete, update or erase it, to have grievances redressed and to nominate a person to exercise your rights.
- EEA, UK and Switzerland (GDPR): to access, rectify, erase, restrict or object to processing, to data portability, to withdraw consent at any time and to lodge a complaint with your local data protection authority.
- California and other US states: to know, access, correct and delete personal information, and to opt out of the "sale" or "sharing" of personal information for targeted advertising. We do not sell personal information. For ads in the free version, use Settings > Privacy choices or your Android advertising ID settings.
To exercise any right, email support@nexogalaxy.com. We will respond within 30 days, or sooner where the law requires. We will not discriminate against you for exercising your rights.
10. International processing
Our third-party providers, such as Google, may process data in countries other than your own, including the United States, under their own safeguards. Support emails are handled by our email provider.
11. Changes to this policy
We may update this Privacy Policy when the App or the law changes. We will update the "Last updated" date above and, for significant changes, tell you in the App before they take effect.
